The Davie School Foundation, Inc. seeks an Operations Manager for the Old Davie School Historical Museum on a full-time (40 hours per week) basis. Person needs to have a flexible schedule and a willingness to work as needed. Candidate must be self-motivated, organized, energetic, visionary, and multitasked. Experience in office management and administrative skills. This position is part administrative assistant, part museum registrar and part rentals manager. Reports to the Executive Director.
Primary Responsibilities
Responsibilities: -provide effective and efficient administrative support -management of facility rentals and associated paperwork; including marketing and “sales” of rentals, preview tours of facilities, drafting contracts, collection of fees, and contact with renters, caterers and event planners. Make arrangements for personnel to conduct rental set-up and be on-site event rental supervisor. -data entry and maintenance of PastPerfect database *contacts list--maintain membership and donor list and conduct renewal and acknowledgement mailings as needed *artifact catalog--work with Collections Committee to input artifact information (accessioning of artifacts); maintain artifact and donor lists and print reports as needed -light bookkeeping; accounts receivable (cash handling), data entry into QuickBooks, preparation of checks, deposits and financial reports for Treasurer review -manage Memorial Brick Program -manage Master Calendar and Daily Visitor Log -organize and maintain office files -manage bulk mailings -order office and collections supplies as needed -review, update and develop office policies and procedures as needed -provide daily tours of site as needed -help as needed prior to and during special events and fundraisers
Qualifications
Customer service skills. Thorough knowledge of office procedures and operations. Two years of office experience required. Proficiency in Microsoft Office software and web and computer technology, strong oral and written communication skills, and the ability to work well with people required. Experience with PastPerfect and QuickBooks software highly desired. Bi-lingual a plus.
Compensation
Starting range: $12.00-$15.00 an hour. 40 hours a week. On occasion may work weekends or evenings. Two weeks vacation, six holidays, three personal days. $200 towards health insurance. Opportunity to be on-site event rental supervisor for additional pay.
