Primary Responsibilities
  • Works with the Director of External Affairs to develop and market the Museum’s facility rental program for both private and corporate events.
  • Manages the overall rental program including responding to all inquiries, conducting site visits, preparing contracts, obtaining all documentation, maintaining event files, and conducts pre-event walk throughs.
  • Manages the overall event coordination, staffing, training, and equipment needs for external events.
  • Maintain the Museum’s master calendar; coordinates all internal and external event and meeting bookings for all spaces within the Museum.
  • Works closely with other Museum departments (i.e. development) to coordinate and plan internal events; determines event needs for staffing, security and equipment for internal events.
  • Develops partnerships and revenue generating opportunities for the Museum’s theater space. Coordinates all bookings for the theater.
  • Works with the Director of External Affairs to track all expenses and revenue relating to events and catering commissions to assure budget accountability.
  • Responsible for maintaining the event rental section of the Museum’s website.
  • Research and obtain all necessary licenses required for rental purposes.
  • Performs other duties as assigned.
  • Due to the nature of the position, weekend and evening hours will be required.
Qualifications
Education: A Bachelor of Arts/Bachelor of Science in marketing, communications, public relations, or related area of study.

Experience: Three years experience in sales, event planning, facilities and/or event rental coordination or similar position. Must be committed, and sensitive, to working with children. Strong interpersonal and communication skills, both written and verbal. Excellent supervisory and customer service skills. Knowledge of marketing and promotional methods and procedures. Excellent organizational skills and the ability to work independently and efficiently. Ability to read, analyze and interpret complex documents. Proficiency in Microsoft Office, including Word, Outlook, and Excel. Knowledge of recordkeeping and records management; comfortable working with a database.
