Core Job Description:
Assist and provide administrative and operational support to the Museum Manager and Museum Director.
Essential Functions:
Assist the Museum Manager and Director by completing purchase orders, filing, maintaining operation schedules, corresponding with partners and other duties as needed. Compile, maintain and confirm all reservations for Hall of Fame programs and events. Compile and distribute weekly schedule of events and activities. Assist in development of Hall of Fame materials and publications. Facilitate information mailings for Hall of Fame programs and events. Proofread and edit documents.
Assist Facility Rental Coordinator to develop and implement room layouts and scheduling with clients, outside vendors, and museum staff. Work with FR Coordinator to ensure all clients, caterers and vendors are in compliance with museum facility policies. Assist in the maintenance of quality standards by attending events produced in our facility.
Assist the Museum Director with gift shop to include: inventory management, placing orders with vendors, creating purchase orders, invoices, consignment agreements and monthly reports as needed. Maintain online web store by adding and updating new and current merchandise for sale through the world-wide web. Assist all departments of IGFA with the knowledge of vendors and the purchasing of merchandise.
Assist the Museum Manager and Director as liaison to our patrons, clients and media. Handle media calendar updates, i.e. tourist publications, magazines listings and directories and update our internet listing. Work with Museum Manager and Director to plan, coordinate and execute in-house special weekend museum events.
Qualifications
For consideration, applicants should meet the following basic selection factors:
High School Graduate
3-5 years of administrative experience preferred.
Prior experience working in a nonprofit museum or other cultural setting preferred.
Excellent verbal and written communication skills necessary.
Strong computer skills a must (Word, Excel, Access, PowerPoint).
Ability to creatively develop programs and events with limited or no financial resources.
Ability to handle confidential information in a professional manner.
Must be able to multi-task and prioritize.
Must be able to work independently as well as in a team environment.
A passion for recreational fishing is preferred.
Ability to work weekends
Ability to plan, organize and coordinate work assignments
Experience interacting with the public in a proficient and positive manner
Must be able to speak, read and write in english
College or technical training preferred
